Configure Bot settings
First, connect to your Zoho account. Then, select the document you want to populate and connect the columns in your database table to the document fields.
Note: To install and configure Bots, start by creating a workflow.

Add multiple conditions and tell the Bot to run when all or some of them are executed
Add conditions for when the Bot should run
Define what will trigger the Bot to act. These can be a specific date, document data, user roles, email, or name. E.g., select an email address and tell the Bot to pre-fill an invoice with data from the system of record when a recipient opens the document.

View the Bots log or use tags to check if the Bot ran successfully
Get your document pre-filled with data
Once the Bot is configured, share your document with anyone who needs to sign and complete it. Based on the conditions you’ve set, it will be pre-filled with data from your Zoho records.

Employ Pre-fill from Zoho CRM Records Bot

Begin a new Flow and transfer samples or generate templates right in the system to activate the Bots option. Find and choose an appropriate Bot from the list.

Set it up

Open up the Bot adjustment menu. Fill out all the required fields to customize general and advanced options. Consider indicating activation circumstances to avoid false activations (you can add a couple of circumstances).

Figure out how it operates

Implement the workflow and explore the outcomes. Make sure the software robots are working appropriately. If something fails, check the Bots log to fix the errors and execute your Flow again.
