A workflow is a business process that includes documents, the people working on them, and bots that automate tasks like populating documents with data from third-party systems, updating CRM records, routing documents, and more. The document flow is guided by your specific business logic, which you can visualize in our drag-and-drop interface. This means you can add steps, branches, and bots and set conditions to determine the path each document takes.
A document is an electronic file that you can easily manage within your workflow or process. You can upload your existing documents, create new ones from PDF files or images, set up web forms, or simply use a pre-built template. Then, design your workflow around one document or assemble multiple documents in a single signing session.
A package is a group of documents processed together in a workflow. A new package is created every time a workflow runs.
You can use bots to connect with various third-party systems, such as CRMs, ERPs, cloud apps, email services, SQL databases, and more. They retrieve data from your system, fill in document fields, update system records, and attach documents to those records.
With a bot, you can easily connect to any system straight from your account—no coding or tech help is required. Just select the bot you need and follow the simple step-by-step instructions to get it up and running.
For more advanced integrations, we offer REST APIs to integrate workflows into applications, cloud storage, websites, or CRMs. With these APIs, users can create documents and web forms, send documents for signature, download completed documents, and more. If you need a specific integration, please contact our Support team.

No, if someone gets separate documents to sign, they don’t need a WorkFlow account. But if you're sharing the whole workflow for editing and collaboration, then those recipients will need to create an account.
With our Free plan, you get access to all WorkFlow features and 10 credits each month. If you reach your monthly credit limit, you can either wait for your credits to reset next month or upgrade to a higher tier.
Workspace Owners can change the WorkFlow plan anytime.
Roles in WorkFlow define what your teammates can do within a workspace. The roles are: Workspace Owner, Admin, Member, and Signer.
A Workspace Owner has complete control over the workspace. They can invite contacts, change workspace settings, create workflows, modify workflow permissions, and view all packages that have been created in the workspace.
An Admin can invite contacts, change workspace settings, create workflows, modify workflow permissions, and view the status of all packages created in the workspace.
An Auditor can only view the status of all packages that have been created in the workspace.
A Member is the default role in the workspace. Members can create workflows, modify permissions of their own workflows, and view the status of workflow packages they have created.
A Signer is the default role for a contact who is not part of the workspace. They can fill out documents that have been sent to them but can't access the workspace.
Depending on their roles, users can manage teammates and company info, create and edit documents and workflows, and collaborate with teammates and people outside the organization.
